Radio Newark Limited (“Radio Newark”, “we”, “us” or “our”) respects your privacy and is committed to protecting your personal information. This notice explains what we collect, why we use it, who we share it with and the rights available to you.

Information we collect

Depending on how you interact with Radio Newark, we may collect:

  • your name and contact details, including email address, telephone number and postal or business address;
  • information about your organisation and advertising or sponsorship requirements;
  • messages, competition entries, requests, feedback and other information you send us;
  • Listener Club account details and preferences;
  • information needed to provide a service, manage a booking, fulfil a contract or maintain financial records;
  • technical and usage information, such as IP address, browser and device type, approximate location, pages visited and website interactions, where permitted; and
  • your cookie and tracking preferences.

Please do not include sensitive personal information in a general enquiry unless it is necessary and we have asked you to provide it.

How we collect information

We collect information directly from you; automatically through necessary website technology and, where you consent, analytics or advertising technologies; from organisations acting on your behalf; and from publicly available sources or business contacts where reasonable and lawful.

Why we use your information

We use personal information to respond to enquiries; prepare and deliver advertising, sponsorship and other services; administer Listener Club accounts, competitions and audience participation; manage customers, suppliers and partners; operate and improve our website, apps and broadcasts; measure website and campaign performance where you consent; send lawful marketing and honour opt-outs; meet legal and accounting obligations; and establish, exercise or defend legal claims.

Our lawful bases

  • Contract: where processing is needed to take steps at your request or fulfil an agreement.
  • Legitimate interests: where reasonably necessary to operate and develop Radio Newark, respond to business enquiries, maintain security or manage customer relationships, provided your rights do not override those interests.
  • Consent: for non-essential cookies and tracking, and marketing where consent is required. You may withdraw consent at any time.
  • Legal obligation: where we must process information to comply with the law.

Advertising enquiries

When you use our advertising enquiry form, we collect the details shown so we can understand your business, contact you and recommend an appropriate campaign. We do not use an enquiry to give unrelated organisations permission to market to you.

Cookies, analytics and advertising measurement

Our website uses necessary technologies to operate. With your permission, we may also use analytics and advertising technologies to understand how the website is used and measure campaigns.

We currently use Google Analytics and plan to use Meta advertising measurement. These services are prevented from using non-essential cookies until the relevant consent is given. Who we share information with

Where necessary, we may share information with trusted service providers including Aiir; CookieYes; Google where analytics consent is given; Meta where advertising consent is given; professional advisers and payment, accounting, IT, email and hosting providers; and regulators or public authorities where disclosure is legally required.

Service providers may only use information as permitted by their agreement with us and applicable law. We do not sell your personal information.

International transfers

Some service providers may process information outside the United Kingdom. Where this happens, we take reasonable steps to ensure an appropriate safeguard is in place, such as UK adequacy regulations or approved contractual protections.

How long we keep information

We keep information only as long as reasonably necessary. As a general guide:

  • advertising enquiries: up to 24 months after our last contact;
  • customer, contract and accounting records: up to six years where required;
  • marketing details: until you withdraw consent, unsubscribe or the information is no longer needed;
  • cookie consent records: for the period configured in our consent system; and
  • unsuccessful competition entries and routine messages: only as long as operationally necessary.

We may retain information longer where needed to resolve a dispute, meet a legal requirement or establish, exercise or defend a legal claim.

Security

We use appropriate organisational and technical measures to protect personal information. No internet service can be guaranteed completely secure, but we review safeguards and limit access to people who need the information for their work.

Your rights

Depending on the circumstances, UK data-protection law may give you rights to access, correct, delete or restrict use of your information; object to legitimate-interest processing or direct marketing; request data portability; and withdraw consent without affecting earlier lawful processing.

Children

Our general website services are not directed at children. Where an activity involves children, we will provide appropriate information and obtain any permission required.

Other websites and services

Our website may link to or embed services operated by other organisations. Their own privacy information applies when you use those services.

Changes to this notice

We may update this notice when our services, suppliers or legal obligations change. The latest version will be published here with its effective date.
